Help - Creative Outputs
Creating Submission |
|
- To create a new Creative Output submission, click on the Menu options: Creative Outputs -> Create CO Submission.
- Select the appropriate category from the drop-down list, and click Continue.
- In the Creative Output Submission Details screen, under the Main Details tab, upload your file by clicking on Upload Creative Output Excel File. Your Excel file, which contains your detailed Creative Output records, will be imported into ROSS.
- If you have any additional documents that need to be attached, you can upload them through the Additional Attachments / Document tab. NOTE: If you upload your Excel file with your Creative Output records under this tab, the file will be saved but your records will not be imported.
- To validate your records and check for possible errors, click on Validate Records button. If there are any possible errors, you will be prompted to download the files containing these errors. The validation checks the submission data in three different groups: creative output details, contributors, and reviewers.
- You can always cancel your submission and start over - to do this, click on the Cancel Submission button, and create a new submission.
- You can view each individual creative output record by clicking on the View All Records button and selecting a record from the grid. You can apply a filter to narrow down your options, and page forwards or backwards to find the record you are searching for.
- You can upload multiple Excel files into the same submission, provided that they are of the same creative output category.
- Once you are satisfied with your submission and you wish to begin the peer-review process, click on Submit For Peer Review. This will send an email to all reviewers that were indicated in the Excel File(s), and request them to perform reviews on their respected items. NOTE: Once you have submitted your creative outputs for peer-review, you cannot make any changes to that submission, except adding/removing reviewers, so make sure that your data has been validated and corrected where necessary.

If your Creative Output Excel file is not uploading, or your creative output records are not imported, check the following:
- Ensure that you are uploading your file through the Main Details tab in the Creative Output Submission Details screen, and not under the Additional Attachments / Documents tab.
- Your Excel file must only contain the worksheet for the respective category, and not multiple categories. ROSS will only look at the first worksheet in the file. For example: If you are uploading a file for Design outputs, make sure that the first worksheet in the file contains your Design outputs, and not your Film outputs.
- Keep to the DHET template. Make sure that the headers are EXACTLY the same as the DHET template, for that respective output. Do not add or remove anything from the headings.
- Make sure that the first row in your file contains the category that reflects the file. For example: the file for the Design category must have A1 marked as DESIGN (as reflected in the DHET Template).
- Make sure that each row in your file contains the DHET No. (e.g. COF3). ROSS looks at each row, and if there is no DHET No. value, then the system assumes that the row is blank (because it is neither a new record, nor is it a row which should link to a previous record) and ends the process.
- Make sure that one record does not span multiple rows in the Excel file (merged cells). Your source system may export one record to multiple rows because of special characters in the fields (e.g. new line character in Title).
- Invalid values should still be imported, although they will be picked up during data validation.

Please take note of the following additional items / features for Creative Outputs:
- Peer reviewer deadline: You can set a deadline your selected peer reviewers to complete their reviews. Go to menu option Settings -> My Institution and change the Creative Output Reviewer Deadline.
- Notifications: You can select which notifications you would like to receive via email, and which notifications you would not like to receive. Go to menu option My Profile and click on the My Notifications tab. Select / de-select the items, and click Save.
- Additional attachments for Creative Output records: You can upload additional attachments for specific creative output records by opening the respective output record (see item 7 in the Creating Submission section above), clicking on the Attachments tab and uploading your files. These files will relate specifically to the respective record, and not necessarily other records. NOTE: Reviewers will be able to see these files when they review their respective items.
- You can monitor the progress of you peer reviewers by clicking on the Peer Reviewers menu option. This screen will allow you to see which reviewers have reviewed their items, which are in the process of reviewing their items, which have withdrawn from reviewing their items, and which have not yet started reviewing their items.
- You can add a new peer reviewer by clicking on the Add Peer Reviewer button and completing the details.
- To remove an item from a reviewer's list, select the respective reviewer from the grid and click on the Items Not Reviewed tab. Select at least one record from the grid, and then click on Remove Items. The items will be removed from the respective reviewer's list, and will need to be assigned to another reviewer.
- To assign an item to a reviewer, select the respective reviewer from the grid and click on the Assign Items button. The list of available items will appear. Select at least one item from the grid, and click on the Save button. NOTE: A reviewer cannot be assigned to reviewer the same item twice.
- You can add a third reviewer to a creative output record, if both reviewers have completed their reviews, and one review is positive and one review is negative. - To create a new Innovation Output submission, click on the Menu options: Innovation Outputs -> Create IO Submission.
- In the Innovation Output Submission Details screen, upload your file by clicking on Upload Innovation Output Excel File. Your Excel file, which contains your detailed Innovation Output records, will be imported into ROSS.
- To validate your records and check for possible errors, click on Validate Records button. If there are any possible errors, you will be prompted to download the files containing these errors. The validation checks the submission data in two different groups: innovation output details and creators.
- You can always cancel your submission and start over - to do this, click on the Cancel Submission button, and create a new submission.
- You can view each individual creative output record by clicking on the View All Records button and selecting a record from the grid. You can apply a filter to narrow down your options, and page forwards or backwards to find the record you are searching for.
- If you have any additional documents that need to be attached, you can upload them through the IO Attachments menu, or by finding the respective record and uploading the attachment through the Attachments tab.
- You can upload multiple Excel files into the same submission, provided that they do not contain records you have already uploaded.
- Once you are satisfied with your submission and you wish to submit, click on Submit to DHET. NOTE: Once you have submitted your innovation outputs to DHET, you cannot make any changes to that submission, so make sure that your data has been validated and corrected where necessary.

If your Innovation Output Excel file is not uploading, or your innovation output records are not imported, check the following:
- The first worksheet in your Excel file must contain your innovation output records, based on the DHET template. ROSS will only look at the first worksheet in the file.
- Keep to the DHET template. Make sure that the headers are EXACTLY the same as the DHET template, for that respective output. Do not add or remove anything from the headings.
- Make sure that the first row in your file contains the appropriate headers for the correct grouping of cells - i.e. INTELLECTUAL PROPERTY DETAILS, PATENT APPLICATIONS/PATENTS (WHERE APPLICABLE), OTHER FORMS OF APPLICATIONS/REGISTRATIONS (WHERE APPLICABLE).
- Make sure that each row in your file contains the NIPMO CR Number (e.g. CR2020-999). ROSS looks at each row, and if there is no NIPMO CR Number value, then the system assumes that the row is blank (because it is neither a new record, nor is it a row which should link to a previous record) and ends the process.
- Make sure that one record does not span multiple rows in the Excel file (merged cells). Your source system may export one record to multiple rows because of special characters in the fields (e.g. new line character in Title).
- Invalid values should be uploaded to ROSS, although they will be picked up during data validation.

- Select the Type of Attachment you will be uploading. All attachments that are uploaded will be linked to that Type of Attachment. For example - you can upload 10 Proof of Affiliation documents by selecting the appropriate type of attachment and then uploading the 10 files at once.

To link an attachment to a research output record, ensure that the first part of the file name reflects the respective DHET Number or institution identifier of the record. The system will search all output types for this record.
Example 1: J100 - Proof of Affiliation - John Smith.pdf will automatically be linked to the research output record labelled J100.
Example 2: RO-2020-00412 - Full Book.pdf will automatically be linked to the respective output record with the Institution No. labelled RO-2020-00412 (this is the institution's system identifier).
If there is no J100 record (example 1) or RO-2020-00412 record (example 2), then the attachment will not be linked. You can either link the attachment manually, or delete it and rename/reupload it. -
Please ensure there is a space after the first part of the file name, which should be linked to your identifier. We cannot cater for all institutions' formats, so the system will only look at the first part of the file name up to the space.
Example 1: RO-2020-00412 - Full Book.pdf is correctly named. The system will look for record RO-2020-00412. Example 2: RO-2020-00412-Full Book.pdf is incorrectly named. The system will look for record RO-2020-00412-Full, which does not exist. - You can upload all documents into one file, if that is your institution's preference. In this case, please make sure all supporting documentation is provided and labelled / highlighted in the file, to make it easy for the reviewers to locate. You can choose the attachment type Supporting Documents for Panel Evaluation.
- Most attachments can be deleted from this page. However, the Research Outputs template that was uploaded to produce the individual records cannot be deleted from this page - this can only be deleted once the submission has been deleted.
- NEW: You have the option to delink all attachments - this will remove all links between uploaded attachments and your publication records.
- NEW: You have the option to automatically link all attachments - this will remove all existing links between your publications and attachments, and try to automatically link them again. This is useful if you need to cancel or clear your RO submission, without having to re-upload your attachments.
- NEW: You can download a list of all attachments, based on the filters you have selected This list will show the attachments, and the respective records they are linked to.

Help - Research (Publication) Outputs

- To create a new Research (Publication) Output submission, click on the Menu options: Research Outputs -> Create Submission.
- Select the appropriate output type from the drop-down list, and click Continue.
- In the Research Output Submission Details screen, under the Details tab, upload your file by clicking on Upload Research Output Excel File. Your Excel file, which contains your detailed Research Output records, will be imported into ROSS.
- To validate your records and check for possible errors, click on Validate Records button. If there are any possible errors, you will be prompted to download the files containing these errors. The validation checks the submission data in three different groups: creative output details, contributors, and reviewers.
- You can always cancel your submission and start over - to do this, click on the Cancel Submission button, and create a new submission.
- You can view each individual research output record by clicking on the View All Records button and selecting a record from the grid. You can apply a filter to narrow down your options, and page forwards or backwards to find the record you are searching for.
- You can upload multiple Excel files into the same submission, provided that they are of the same research output category. This option is useful for extremely large files, which take a while to upload and process.
- You must validate your submission before you can submit your outputs to the DHET for review. Click on VALIDATE SUBMISSION to start this process. Once this has completed, you will receive an email with the errors. You can also download the Excel file of errors from the Submission screen.
- You cannot submit your records until all critical errors were corrected and re-uploaded. You should also take note of the non-critial errors, or warnings, as these might also lead to rejections.
- As an additional feature, you can compare your data to the NRF's publication data, which was sourced from a reputable third-party. You can ignore these suggestions, but be aware that any missing or invalid values might result in items being rejected. Also note that the dataset at the NRF is limited, and not all records will be matched - therefore, it is your responsibility to ensure that your data is accurate.

If your Research Output Excel file is not uploading, or your records are not completely imported, check the following:
- repeated or missing column headers
- empty or blank columns in the range
- DHET No. should be the first column in the range
- the headers should be in either row 1 or row 2
- merged rows (i.e. row 5 and 6 merged into one row)
- only the first worksheet will be uploaded - ensure that the output data is in worksheet 1
- numberic and date values are correctly entered
- divide by zero does not occur. For example, you cannot have 0 or blank authors, as this will divide by 0.

- The sub-panel review process has changed slightly, in that you can select items from the pool to review in your own time.
- Click on ADD ITEMS TO REVIEW to open a screen with items which have not yet been fully reviewed.
- You can remove an item from your list if you do not wish to review it. If you remove an item, you can always add it again - if it has not yet been fully reviewed.
- The deadline for the sub-panels to complete their reviews is {{_subPanelDeadline}}. Please ensure that you complete your reviews before this deadline, or remove them from your list if you are unable to review them.

- Add additional reviewer: you can now add an additional reviewer in cases where you have 2 positive reviews. This will strengthen your case for subsidy where one or more of the reviews are weak or insufficient. Open your creative output record, and go to the Peer Reviewers tab, and select the ADD REVIEWER button (this will only be available when you are allowed to select additional reviewers).
- Withdraw Item: you can withdraw an item if you do not want to submit it for sub-panel review, unless the item has already received 2 negative reviews. Open your creative output record, and go to the Main Details tab, and select the WITHDRAW button.
- Submit to Sub-Panel: you can submit an item to the sub-panel for review before the DHET's deadline. This will assist the DHET and the sub-panellists by giving them more time to review the items. Open your creative output record, and go to the Main Details tab, and select the SUBMIT TO SUB-PANEL button (this will only be available if you have at least two positive peer-reviews, but not two negative reviews).
- For all of the above actions, please open the respective creative output record (go to Creative Outputs -> View CO Records -> select the respective record). Your options will be available to you based on the status of the record.
- NOTE: If a creative output record receives two NEGATIVE reviews, it will not be sent to the sub-panel, even if you have received two or more positive reviews.

- Updated Template: please see update DHET template for new changes.
- Updated Template (optional): optional field Faculty can be added next to contributor's Department.
- Upload Attachments: new menu option (Creative Outputs -> CO Attachments). When uploading an attachment, you need to select the type of attachment. You can upload multiple files of the same type. If you want to link an attachment to a creative output record, make sure that the file name starts with the DHET No. of the corresponding record (e.g. COTV1 - Ethical Clearance Certificate.pdf). ROSS will try to automatically link the attachment to the respective record. However, you can link/unlink attachments at any stage.
- Validation: Strict validation to ensure that compulsory fields are completed correctly. You cannot submit until all critical errors have been resolved.

- Reviewer Database: only reviewers who have agreed to share their details will be listed in this database.
- Reviewer Reports: the completed reports from the reviewers, in PDF format.
- Change Reviewer's Email Address: You can change a reviewer's email address from the Peer Reviewers screen. This will send a new email to the reviewer with the updated email address.
- Contact People: Settings -> My Institution -> Creative Output Contacts. This allows you to select which people at your institution will be listed as contacts in the emails sent to the peer-reviewers.
- My Profile: You can now edit your details.
- Additional Validation: Additional checks and validation on the files you upload.
- Report Year 2020 Open: You can now start uploading creative output records for report year 2020 (items produced between 2017 and 2019). Peer-reviewers can also continue reviewing items that were originally assigned to them (except items produced in 2016).
- Reviewers can opt out of process: Reviewers can choose not to participate in the review process. If so, any new files that you upload will flag these reviewers in your validation so that you can choose new reviewers. You will also receive an email informing you of the reviewer's decision, if any items have already been assigned to that reviewer.
- Reviewers can join Reviewer Database: Reviewers who are participating in the review process can choose to join the reviewer database. Their details will then be available to all institutions using ROSS.
- Reviewer Reports: Reviewers can also view their completed reviews, in PDF format.

- The final deadline for the Creative Output submission is {{_submissionDeadline}}. Institutions will not be able to submit via ROSS after the deadline has been reached. The DHET has indicated that there will be no extension.
- Your institution can set a deadline for the peer-reviewers to complete their reviews. This is defaulted to two weeks before the above deadline, but can be be adjusted at any stage. This is the date that the peer reviewers will see and work towards.
- The current DHET Creative Output Template can be downloaded here. Please view the Help page for more details on how to create and manage your submissions.
- If you have any issues with the system, please contact ross-support@nrf.ac.za.
- If you have any questions or concerns around the new template, please contact the DHET.
- ROSS Production is open for the 2025 Research Output Submission (for 2024) publications.
- The deadline for the Research Output submission is {{_submissionDeadline}}. Institutions will not be able to submit via ROSS after the deadline has been reached, unless an extension has been granted by DHET.
- ROSS QA is available to upload and test your RO files. Go to https://ross-qa.nrf.ac.za/
- The NRF has created a Master Journal List. This list combines all seven indices into one. The list can be found here: NRF_Master_Journal_List.xlsx. Institutions are not obliged to use this list, but might find it useful and beneficial. The list will constantly evolve, so please check if you have the latest updated list.

- You can upload up to 10 attachments or documents at a time.
- Select the Type of Attachment you will be uploading. All attachments that are uploaded will be linked to that Type of Attachment. For example - you can upload 10 Proof of Affiliation documents by selecting the appropriate type of attachment and then uploading the 10 files at once. .
- To link an attachment to a creative output record, ensure that the first part of the file name reflects the respective DHET Number of the record. For example - COFA123 - Declaration of Originality - John Smith.pdf will automatically be linked to the Fine Arts record labelled COFA123. If there is no COFA123 record, then the attachment will not be linked - you can either link the attachment at a later stage, or delete it and rename/reupload it.
- Most attachments can be deleted from this page. However, the Creative Outputs template that was uploaded to produce the individual records cannot be deleted from this page - this can only be deleted once the submission has been deleted.
